Transactions

The Transactions page lets you query transaction records directly from Datacap in real time. Unlike the Batches page which shows settled batch data, this page gives you live access to all transactions — including those in open, unsettled batches.


Selecting a Location

If your account has multiple locations, use the Location dropdown at the top to select which merchant you want to query. Only locations assigned to your account will appear.


Date Range Presets

Choose a time period using the preset buttons:

tip

The business day starts at 4:00 AM in your location's timezone. Transactions processed after midnight but before 4 AM are included in the previous day's results.


Summary Totals

After running a query the portal displays a summary bar showing:

  • Net Total — total sales minus returns
  • Total Sales — gross sales amount
  • Returns — total amount returned
  • Tips — total gratuity collected
  • Transactions — total count broken down by sales, returns, voids, pre-auths, and uncaptured

A by card type breakdown shows the total volume for Visa, Mastercard, AMEX, Discover, and other card types.


Transaction List

The transaction list shows individual approved transactions. Each row includes:

Filtering Transactions

Use the filter panel to narrow down results:

  • Last 4 — filter to a specific card
  • Invoice # — search by invoice or order number
  • Transaction Type — filter by EMVSale, Return, Void, etc.
  • Card Type — filter by Visa, Mastercard, AMEX, etc.

Exporting to CSV

Click Export CSV to download the current query results as a spreadsheet. The export applies the same date range and filters as the current view.

The CSV includes: timestamp, transaction type, card type, last 4, auth amount, purchase amount, gratuity, auth code, return code, response text, merchant ID, invoice number, and reference number.

The export excludes declined transactions and informational records such as batch summaries and zero-auth checks. Only approved transactions are included.


How Transactions Are Counted

The portal intelligently groups related transaction records so each customer interaction counts as one transaction:

  • A sale with a tip adjustment counts as one sale at the adjusted amount
  • A pre-auth followed by a capture counts as one sale at the captured amount
  • A voided sale is excluded from the total
  • A return is counted separately and subtracted from the net total
  • Uncaptured pre-auths (pre-auth with no capture) are counted separately and excluded from sales totals
