Leafly Menu Integration

The Leafly integration syncs your dispensary's product menu to the Leafly platform. When products are published, they appear on Leafly for patients and customers to browse. When items are unpublished or removed, they are taken off the public Leafly menu.

This guide covers the available actions for managing your Leafly menu. Role requirements are noted where applicable.

Publishing Your Full Menu

Required role: Admin or Manager

Publishing your full menu pushes all eligible inventory items to Leafly in one operation. This includes both individually sold items and weighted (by the gram) products.

  1. Navigate to the Leafly menu management section.
  2. Select Publish Full Menu.
  3. The system will process all inventory items, categorize them, and push them to Leafly.
  4. A summary will display the number of items published and any items that failed.

Items that fail to publish are logged and displayed so you can investigate and retry.

Publishing By Category

Required role: Admin or Manager

Instead of publishing the entire menu at once, you can publish specific categories of items.

Publish Individual Items (Each)

Pushes individually sold products to Leafly.

  1. Navigate to the Leafly menu management section.
  2. Select Publish Individual Items.
  3. The system will process all eligible items sold as individual units and push them to Leafly.
  4. Review the summary for published and failed items.

Publish Weighted Items (Grams)

Pushes products sold by weight to Leafly.

  1. Navigate to the Leafly menu management section.
  2. Select Publish Weighted Items.
  3. The system will process all eligible gram-based products and push them to Leafly.
  4. Review the summary for published and failed items.

Publish Buds

Pushes only flower (bud) products to Leafly.

  1. Navigate to the Leafly menu management section.
  2. Select Publish Buds.
  3. The system will process all eligible bud products and push them to Leafly.
  4. Review the summary for published and failed items.

Updating Recently Edited Items

Required role: Admin or Manager

Rather than republishing the entire menu, this action only pushes items that have changed since the last publish. Items that no longer meet the minimum inventory threshold will also be removed from Leafly automatically.

  1. Navigate to the Leafly menu management section.
  2. Select Update Last Edited.
  3. The system will identify changed items, publish updates, and remove items that have fallen below the minimum inventory threshold.
  4. Review the summary for items updated, published, and removed.

This is the recommended approach for routine daily menu maintenance.

Removing Items From Leafly

Required role: Admin or Manager

You can remove specific items from the public Leafly menu without affecting the rest of your menu.

  1. Navigate to the Leafly menu management section.
  2. Select Unpublish Items.
  3. Identify or select the items you wish to remove.
  4. Confirm the action.
  5. Review the confirmation to verify the items have been removed.

Resetting the Entire Menu

Required role: Admin or Manager

This action removes every product from your public Leafly menu, effectively starting with a blank slate. Use this when you need to fully rebuild your Leafly listing.

  1. Navigate to the Leafly menu management section.
  2. Select Reset Menu.
  3. Confirm that you want to remove all items.
  4. Review the confirmation to verify the menu has been cleared.

After resetting, you will need to republish items using one of the publish methods described above.

Token Management

Required role: Admin only

The Leafly integration uses an access token to authenticate with the Leafly platform. This token is managed automatically, but you may need to view or reset it in certain situations.

View Current Token

  1. Navigate to the Leafly menu management section.
  2. Select Get Access Token.
  3. The current token details will be displayed.

Reset Token

If the connection to Leafly is failing, the token may need to be cleared so a fresh one can be generated.

  1. Navigate to the Leafly menu management section.
  2. Select Delete Token.
  3. The next time a Leafly operation is performed, a new token will be generated automatically.

Troubleshooting

Published items not appearing on Leafly

  • Ensure the item meets the minimum inventory threshold set in your system settings.
  • Verify the item has a valid product category assigned.
  • Check the publish summary for any logged failures.

Token errors

  • Try resetting the token using the Delete Token option described above.
  • If the issue persists, contact your system administrator.

Items failing to publish

  • Failed items are logged with error details. Review the publish summary for specific item failures.
  • Common causes include missing product information, invalid pricing, or missing strain data.
