Lesson Scheduling — Managing Availability

Instructor availability determines which slots can be filled. Availability is managed through two tabs: Availability (per instructor) and Closures (shop-wide).

Availability​

The Availability tab lets you set weekly recurring schedules and one-off exceptions for each instructor.

Setting Weekly Availability​

  1. Select an instructor from the dropdown.
  2. Under Weekly Availability, you will see each day of the week (Sunday through Saturday).
  3. For each day, click the time inputs to set a start and end time, then click Add.
  4. Rules appear as chips showing the time range (e.g., 09:00 - 17:00).
  5. Remove a rule by clicking the close icon on the chip.

You can add multiple rules per day for instructors with split schedules.

One-Off Adds and Blackouts​

Below the weekly schedule, manage exceptions for specific dates.

Date Range Filter — Set the From and To dates and click Load to load exceptions for that range. Defaults to today through 30 days out.

Adding an Exception

  1. Select the date.
  2. Choose the type:
    • Add — Makes the instructor available on a day they normally are not.
    • Blackout — Removes availability on a day they normally are.
  3. Toggle All Day on for a full-day exception. If off, set a start and end time.
  4. Optionally enter a reason.
  5. Click Add.

Removing an Exception

  • Click the delete icon on the exception you want to remove.

Closures​

Shop closures override all instructor availability for a given date. When the shop is closed, no lesson slots are available.

Adding a Closure​

  1. Open the Closures tab.
  2. Enter the closure date.
  3. Optionally enter a reason.
  4. Click Add Closure.

Viewing and Removing Closures​

  • Use the From and To date range filter to load closures for a period. Defaults to today through 90 days out.
  • Click the delete icon on a closure to remove it.

Precedence​

Availability follows this order of precedence:

  1. Shop Closures override everything. If the shop is closed, no slots are available.
  2. Blackouts override weekly rules. An instructor is unavailable for the blackout period.
  3. Adds extend availability beyond the weekly schedule.
  4. Weekly Rules define the default recurring availability.
