Managing Rentals

After a customer books a rental, staff manage the order through three actions: reserving the items, checking them out (handing them to the customer), and processing the return. These actions are available as function buttons on the POS order screen.

Reserve Rental

Use Reserve Rental when you need to set the rental window for an order built at the register (rather than through the online booking page).

  1. Open the order that contains the rental items.
  2. Click the Reserve Rental function button.
  3. In the dialog that appears, select the pick-up date and time and the return date and time.
  4. Confirm the window.

The system checks availability for all rental items on the order. If everything is available, the items are reserved and held in inventory. A confirmation message shows how many rental lines were reserved.

If items are not available, an error message displays indicating which items could not be reserved.

Check Out Rental (Hand Out)

When the customer arrives to pick up their equipment, use Check Out Rental to mark the items as handed out.

  1. Open the rental order.
  2. Click the Check Out Rental function button.

All reserved items on the order transition to handed out status. A confirmation message shows how many rental lines were handed out.

This action records the physical state of the items for the return workflow. Inventory remains held — the items are still not available for other bookings.

Return Rental

When the customer returns the equipment, use Return Rental to release the items back into inventory.

  1. Open the rental order.
  2. Click the Return Rental function button.

All handed-out and reserved items on the order transition to returned status. A confirmation message shows how many rental lines were returned. The items are immediately available for new bookings.

This button also works to release a reservation that was never picked up. If a customer reserved items but never came to check them out, clicking Return Rental frees the hold.
